Cashbook (Desktop)

What it is: A built-in cashbook module within Draftworx Desktop that lets you capture individual bank transactions and have them flow directly into the Working Trial Balance.

What it's for

When a client does not use accounting software, or when adjustments to bank transactions need to be made inside Draftworx, the Cashbook provides a structured way to record receipts and payments. Each transaction is linked to an account in the Working Trial Balance and can include VAT calculations. The resulting totals update the trial balance automatically. Completed cashbooks can be exported to Excel for review or sharing, and existing cashbooks in Excel format can be imported using either the standard Draftworx layout or a custom column mapping.

How to do it

Setting Up and Using the Cashbook

  1. Navigate to Financial Data in the main menu and select Cashbook.
  2. On the orange setup row, select the arrow to choose the bank account from the Working Trial Balance, then select the relevant account.
  3. Select the arrow again to choose the VAT account from the Working Trial Balance, then select the relevant account.
  4. Press Enter to create the cashbook. Repeat to add additional bank accounts if needed.
  5. On the orange data-entry row, select the transaction date from the drop-down.
  6. Select the arrow to choose the income or expense account for the transaction.
  7. Enter the inclusive (gross) amount. Adjust the VAT rate if needed — the exclusive amount and VAT are calculated automatically.
  8. Add a description, then press Enter to save the transaction.
  9. Repeat for each transaction. Transactions appear in the Transactions column on the Working Trial Balance.

Exporting and Importing Cashbooks

  • To export: select Export Selected Cashbook (or Export All Cashbooks), browse to a save location, and confirm.
  • To import a Draftworx-formatted cashbook: select Import DX Layout and browse to the file.
  • To import a cashbook in any other Excel format: select Import Custom Layout, browse to the file, and map each column to the correct field. Required fields are: Account Number, Account Name, VAT Inclusive Amount, and VAT Exclusive Amount.
